The purpose of this policy is to outline our commitment to prevent bribery, ensure compliance with relevant laws, and maintain the highest ethical standards in all our dealings. This policy applies to all employees, directors, suppliers, and subcontractors working with or on behalf of Ascent Onsite Group.
Key Principles
- Prohibition of Bribery: Ascent Onsite Group prohibits the offering, giving, soliciting, or accepting of bribes, in any form, whether monetary or otherwise. This applies to all employees, contractors, agents, and anyone acting on behalf of the company.
- No Improper Influence: We do not tolerate any form of inducement aimed at influencing decisions for personal or commercial gain. This includes bribery in exchange for business favors or advantages.
- Transparency: We are committed to conducting our business transparently, and all gifts, hospitality, or incentives must be reasonable, proportionate, and documented.
Acceptable Practices
While bribery is strictly prohibited, we recognise that certain business practices may be customary and lawful, such as:
- Normal and appropriate hospitality: Gifts and hospitality that are reasonable and proportionate to the occasion, and provided transparently.
- Ceremonial gifts: Gifts given for festivals or special occasions that are of modest value and culturally appropriate.
- Fast-track processes: Use of recognised fast-track services available to everyone, where the payment of a fee is required.
- Resources for efficiency: Providing resources to help make business decisions more efficiently, where they are used solely for that purpose.
Employee and Board Responsibility
All employees, directors, and contractors are responsible for ensuring compliance with this policy. Employees must:
- Report Suspected Bribery: If you suspect bribery or unethical conduct, you should report it immediately through the appropriate channels. Ascent Onsite Group has a secure whistleblowing procedure in place, allowing for anonymous reports.
- Seek Guidance: If you are unsure whether an action could constitute bribery, you should seek guidance from your line manager or a director.
Investigation and Enforcement
Ascent Onsite Group takes all allegations of bribery seriously. If any employee, director, or contractor is found to have engaged in bribery, the company will:
- Investigate Thoroughly: All reports of bribery will be investigated in a transparent and thorough manner.
- Cooperate with Authorities: We will fully cooperate with law enforcement and regulatory bodies in any investigations or prosecutions of bribery.
- Disciplinary Action: Employees or contractors involved in bribery will face disciplinary action, which may include termination of employment or contracts. Legal action may also be pursued against external parties.
Reporting Bribery
Ascent Onsite Group encourages everyone to report concerns or suspected instances of bribery. Reports can be made directly to a line manager, or through our confidential whistleblowing procedure.
Approval
This Anti-Bribery Policy is approved by the Board of Directors and will be reviewed regularly to ensure its effectiveness and compliance with relevant laws.
